What is the benefit of a strategic management model, and how does the staff utilize this framework and tool?
For career and professional development professionals, staff can spend so much time designing and implementing services, programs, initiatives and developing resources, that they neglect the work required to build a unit that can sustain those efforts over time.
The OCPD's management model reminds the team of those other necessary factors by identifying six core management areas. The goal is to use the prompting questions to regularly assesses the OCPD's functionality in these six areas, either to recognize progress or to acknowledge weaknesses and proactively take steps to address issues affecting productivity. The model also offers the staff a useful common vocabulary to discuss what is and isn't working in the office. Furthermore, the model serves as our framework during Retreat Week, a one week strategic planning stretch held each June to design the next 51 weeks of services, programming, and initiatives. The diagram above illustrates the six areas of our office management. For each area, the evaluatory questions are:
1. People
- Do we have the best person for each job?
- Are our roles clearly defined?
- Do we have the support, resources and training required to do our work (are they 'work ready')?
- Are we recognized and rewarded for our achievements?
- Do we have a shared understanding of how we work together (our principles of engagement)?
2. Strategy & Politics
- Our Purpose: Do we have an articulated vision and mission?
- Do we have clear goals?
- De we have a viable 1, 3, and 5 year strategic plan?
- Does our plan integrate the results of our SWOT analysis?
- Have we identified our allies and champions?
- Do we understand how resources are allocated?
- Can we articulate our value to UCSF stakeholders?
3. SPIR (Services, Programs, Initiatives and Resources)
- Are all of our efforts in alignment with our mission?
4. Money
- Do we know how much we have?
- Do we know how is it being spent?
- Are our funds being used effectively?
- Do we have checks & balances?
- Do we have enough to meet our goals?
5. Infrastructure
- Are we optimally organized to support our people & efforts?
- Are systems, processes and policies in place to support our staff in meeting their stated responsibilities?
- Is our infrastructure sufficiently built out to manage the volume and scope of our efforts?
6. RAD: Research, Assessment & Dissemination
- Have we defined our success metrics?
- Do we have the skills to assess our impact?
- Are we prepared to present our efforts?
