Health Professional RCO Co-Sponsorship Collaborations

CPD’s Health Careers team partners with RCOs to support career development events that equip UCSF health professional students with the skills, networks, and exposure needed to navigate their careers.

If you’re planning a career-focused event, the Health Careers team can provide funding, tools, and planning support to help you deliver a high-impact experience.

Co-Sponsorship Guidelines

To be eligible for co-sponsorship, events must include career-focused, skills-based programming, such as panels, presentations, or structured networking.

CPD may provide support for:

  • Catering and non-alcoholic beverages

  • Parking for external speakers or panelists

  • Room fees (after free options have been explored)

  • A/V support for evening events

Important protocols:

  • Gift cards are not eligible for co-sponsorship

  • Catering is based on historical and current Handshake event registration numbers

  • Requests must be submitted at least 6 weeks in advance to be considered

  • Events must take place within a UCSF campus: Parnassus or Mission Bay

How to Request Co-Sponsorship

Step 1. Submit Your Request (6 Weeks Before Your Event)

First, complete our RCO co-sponsorship request form.

  • The form will prompt you to schedule a 30-minute virtual planning meeting to review your event.

Come prepared with:

  • Specific funding request (e.g., catering, parking)

CPD will create your event in Handshake.

  • All co-sponsored events require student registration and attendee check-in through Handshake.

Key Planning Timelines & Expectations

4 Weeks Before

Once your request is approved:

  • Submit external speaker emails (required for parking)

  • Share your event ad or flier with CPD Health Careers staff so you can both promote your event and direct attendees to RSVP in Handshake

  • Note that students must activate their Handshake accounts before registering for an event

1–2 Weeks Before

2 weeks Before:

  • RCOs will confirm the event registration numbers and logistics with CPD Health Careers staff
  • RCOs are responsible for ensuring Handshake registration numbers are accurate. If needed, follow up with members to register in Handshake, as RSVPs from other systems will not be used for catering counts.

1 week before:

  • CPD Health Careers staff will confirm their final event registration numbers in Handshake with RCOs before ordering catering
  • RCOs submit their final event agenda, including speaker names and emails
Day of Event
  • Partner with CPD Health Careers staff to ensure all attendees check into the event using a Handshake QR code

  • Acknowledge CPD co-sponsorship during the event and allow 1–2 minutes for a CPD announcement or display CPD outreach materials during your event

  • Take photos of the event to share with CPD Health Careers staff

Within 48 Hours After Event
  • Complete the RCO Co-Sponsorship Debrief form

  • Submit reimbursement materials including: receipts (if applicable), updated event materials (i.e. ADEA Roads to Residency timelines or FAQs, due with receipts, etc)
